Who runs HarvestMap

HarvestMap is a private tool run by volunteers of the Calgary Twi Group to organise visits to Twi-speaking households in Calgary and the surrounding towns. It is not an official website of any organisation.

What is kept about publishers

• Your name, email, and phone number if you give one; your role and service group.
• The territories you are given and return, and the calls you record (for the S-13 Territory Assignment Record).
• Your notification choices, and the devices where you turned on notifications.

What is kept about householders

• The address, and the name, language and phone number only when known.
• Short notes about visits, and requests not to be visited (do not call / no trespassing), which are always respected.
• Please never write sensitive details in notes (health, family problems, beliefs, immigration status and the like) — only what helps the next visit.

Who can see it

• Publishers see only the territories given to them. A territory link works only until that territory is returned.
• Elders, assistants, overseers and administrators see what their role needs to organise the work (the role list is on the Publishers page).
• Nothing is sold, shared with other organisations, or used for anything else.

How it is protected

• It is stored on a private server rented by the congregation; every connection is encrypted (https).
• Passwords are stored scrambled (hashed), never as plain text. Sign-in attempts are limited, and you can sign out of all devices from Account.
• Nightly backups are encrypted. An activity log records who changed or deleted what, kept for 24 months.

How long it is kept

• Addresses are kept while they are useful for the work; do-not-call requests are checked again once a year.
• If you stop using HarvestMap, your sign-in is removed; your name stays only in past territory records.

Your choices

You can ask to see, correct or remove information about you — speak to the territory servant or an elder. Anyone who asks not to be visited is marked do-not-call.

Please help keep it safe

• Don't copy, forward or print addresses except to work the territory; return or destroy printed cards afterwards.
• Keep territory links to yourself, and sign out on shared phones or computers.
